Hiring Procedures

Hiring FRAs and Post-Docs (blanket search and screen permission to hire forms are on file annually for these positions so they can be filled immediately)

  1. Determine the availability of research funds to support the hire and space and computer needs
  2. Fill out and submit the NEW HIRE FORM. (required info is stated on the form) The Director of Admin will send an offer letter to the individual
  3. Provide: name, address, email, title of position, annual salary, potential start date, a few sentences about what the person will be working on and resume, if available
  4. Once the individual has accepted, the Business Office will contact the individual for other information needed for an official appointment. Refer the hire to our BO site for pertinent information for new hires and assistance with visas, if necessary
  5. Upon acceptance, notify the Business Office if the start date or any other information changes
  6. The Business Office will initiate an appointment

Hiring Exempt Employees with Non-State Funds (Search and screen forms must be filled out. Work closely with the Director of Administration on the entire process)

  1. Determine the availability of funds to support the hire
  2. If a position doesn’t currently exist, it must be created through Personnel.
  3. A search committee must be identified and a search and screen form must be filled out and submitted for approval. Depending on the campus regulations, a permission to hire form may also have to be filled out and approved.
  4. Once approved, the position must be advertised on campus, and usually in the newspapers
  5. Applications are received, reviewed and candidates identified for interview
  6. Interviews are held and a candidate selected.
  7. A specific salary, within the campus guidelines, is determined along with a potential start date.
  8. The selected candidate must be approved by the campus prior to giving an official job offer (an informal notification of intent to offer the position may be given)
  9. Once approval has been received and the candidate accepts, fill out and submit the NEW HIRE FORM specifying the name, final agreed upon start date, salary and account number
  10. The Business Office will contact the individual for other information needed for an official appointment and refer the hire to our BO site for pertinent information for new hires.
  11. The Business Office will initiate an appointment

Hiring Non-Exempt Employees with Non-State Funds (Speak to the Director of Administration as A-21 rules apply. A determination as to how to proceed will be discussed.)
